Refund Policy

1. Overview

At Voyatrix Travel, we are dedicated to delivering exceptional travel itinerary design services that exceed your expectations. We understand that circumstances can change, and we have established this Refund Policy to ensure fairness and transparency for both our clients and our team. This policy outlines the conditions under which refunds may be issued, the refund process, and the applicable timelines for each of our service tiers.

Because our Services involve significant research, creative design work, and personalized consultation, our refund policy takes into account the stage of production at which a cancellation or refund request is made. We encourage you to read this policy carefully before purchasing any of our Services.

2. Cancellation Before Work Begins

If you cancel your order before the initial consultation has taken place and before our travel architects have begun any research or design work on your itinerary, you are eligible for a full refund of the purchase price, minus a 5% administrative processing fee. To qualify for this full refund, your cancellation request must be received within seven (7) calendar days of your purchase date and prior to any consultation scheduling.

Cancellation requests submitted after the initial consultation has been completed but before any itinerary drafts have been delivered will receive a partial refund. In this case, a consultation fee of $150 will be deducted from the refund amount to compensate for the time and expertise invested during the consultation session.

3. Cancellation After Work Has Begun

Once our travel architects have begun research and design work on your itinerary (which typically commences within 2-3 business days after the initial consultation), refund eligibility is determined based on the percentage of work completed at the time of your cancellation request:

The determination of completion percentage is made by our project management team based on the scope of work outlined in your service agreement and the documented progress of research, content creation, and map generation at the time of the cancellation request.

4. Satisfaction Guarantee

We stand behind the quality of our work. If you are dissatisfied with your delivered itinerary, we strongly encourage you to use your included revision rounds to address any concerns before requesting a refund. Our revision process is designed to ensure that the final product meets your expectations.

If, after exhausting all included revision rounds, you remain substantially dissatisfied with the itinerary and can demonstrate that the delivered product materially deviates from the specifications agreed upon during your initial consultation, you may submit a satisfaction-based refund request. These requests are reviewed on a case-by-case basis by our management team, and resolutions may include additional revisions at no extra cost, a partial credit toward future services, or a partial refund not exceeding 50% of the original purchase price.

Satisfaction-based refund requests must be submitted within fourteen (14) calendar days of receiving your final itinerary delivery. Requests submitted after this period will not be eligible for refund consideration.

5. Non-Refundable Items

The following are not eligible for refunds under any circumstances:

  • Rush fees or expedite charges paid for accelerated delivery timelines.
  • Additional revision rounds purchased beyond those included in your package tier.
  • Services that have been fully delivered and accepted (defined as no revision requests submitted within 14 days of delivery).
  • Itineraries where the client failed to attend the scheduled consultation without prior notice and without rescheduling within five (5) business days.
  • Costs incurred by the client based on our recommendations, including but not limited to hotel bookings, flight purchases, tour reservations, or restaurant reservations made using information from our itineraries.
  • Services purchased during promotional periods or using discount codes, unless otherwise stated in the promotional terms.

6. How to Request a Refund

To request a refund, please contact our support team using the contact information provided at the end of this Policy. Your refund request must include the following information:

  • Your full name and the email address used to place the order.
  • Your order number or confirmation number.
  • The date of purchase.
  • A detailed explanation of the reason for your refund request.
  • Any supporting documentation or correspondence relevant to your request.

We will acknowledge receipt of your refund request within two (2) business days. Our team will review your request and notify you of the approval or rejection of your refund within seven (7) business days of receiving your complete request with all required information.

7. Refund Processing

Approved refunds will be processed to the original payment method used for the purchase. Please allow 5-10 business days for the refund to appear on your statement after approval, depending on your financial institution. Refunds for credit card payments will be credited to the same credit card used for the original transaction. We do not issue refunds by check, wire transfer, cash, or to a different payment method than the one originally used.

If you have not received your refund within the stated timeframe, we recommend first checking your bank or credit card statement, then contacting your bank or credit card company, as processing times may vary. If you have completed these steps and still have not received your refund, please contact us and we will investigate promptly.

8. Force Majeure

In the event that your planned travel is disrupted by circumstances beyond your or our control, including but not limited to natural disasters, pandemics, government travel restrictions, airline cancellations, political instability, or acts of terrorism (collectively, "Force Majeure Events"), we will work with you to find an appropriate resolution. This may include rescheduling your itinerary to new dates at no additional cost, modifying your itinerary to an alternative destination, or providing a service credit valid for twelve (12) months from the date of the disruption.

Force Majeure Events do not automatically entitle clients to a cash refund, as the creative work and research invested in your itinerary retain their value regardless of external travel disruptions. However, we will evaluate each situation individually and work in good faith to reach a fair outcome.

9. Chargebacks and Disputes

We strongly encourage clients to contact us directly to resolve any billing concerns before initiating a chargeback or dispute with their financial institution. Filing a chargeback without first attempting to resolve the matter with us may be considered a breach of these terms and may result in the suspension of your account and disqualification from future services. We are committed to resolving disputes fairly and promptly through direct communication.

10. Modifications to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting the updated policy on our website. The refund terms applicable to your purchase are those in effect at the time of your original purchase, not at the time of your refund request. We encourage you to review this policy periodically for any changes.
